Ensure step one and two is carried out at either the Group Site or if one has been created, at your Template Site. Creating it at the template or group site will create the new default setting(s) for all sites, rather than having to create them site by site.


Step One


From the xCenta Dashboard, click on Tools > Admin in the top right of the screen.



From the Administration screen, click on Manage e-learning Course Default Settings.




A new page will appear, click on Create Defaults for Course.



A new pop up will appear.



Select the relevant Course in the first tab. 


The Initial Course Expiry Period allows you to space courses out when the expiry date comes back around for the first time. For example, if you complete 20 courses in the first week of starting, but do not want these courses to all be due again at the same time when they expire, setting 5 courses to expire after 33 months, another 5 courses to expire after 34 months etc, this will then allow courses to be scheduled in. When the courses come round to expiring again it will then use the Subsequent Course Expiry Period. If the Initial Course Expiry Period is left blank, but there is an expiry period in the Subsequent field, it will use the subsequent expiry period each time the course is completed. If the Initial Course Expiry Period  field does have an expiry period, but there is no expiry period in the Subsequent field, the course will expire in the first instance, but then will not expire again after.


The Course Available For is just how long you want the course to be available for.


The Auto Reassign Failed Course In determines the start date of the new course following a failure of the course, we recommend courses be reassigned immediately. If left as Do Not Reassign, a new course will not be reassigned automatically if the user fails the course.


Maximum Number of Resits controls how many attempts can be made when trying to complete a course. By default it will be set to three, meaning after three attempts trying to pass the course, it will send an email to the person with the permission (Manage Training Courses) and not allow you to have anymore attempts.


The notifications are to control which individuals are notified on completion. Immediate Manager will notify the user that is set up as the Reports To for the particular user. Human Resources are based on the permissions under the Human Resources category. Training Manager will notify any user with the ability to assign a course.


Please be aware that placing ticks in these boxers will create emails.


Once you have entered the relevant information, click Create.



Step Two


Once you have added the relevant courses, click on the Course Priorities tab, then click Add New Priority.



A new pop up will appear.The purpose of priorities is to determine the start date of a course. For example if priority 1 is set to 0 a course assigned to a role with this priority will be created with a start date of that day. The employees in that role will then be able to start the course the same day, you have the choice of 10 priorities and any numerical value can be entered..

Enter the relevant information and click Create.



For example, the screenshot below shows how the priorities will appear if courses want to be scheduled weekly. 


The screenshot below shows how the priorities will appear if courses want to be scheduled on a lengthier timescale. 



Click Admin, this will take you back to the administration screen.



Step Three


From the Administration screen, click on Manage Roles.


Click on the relevant role.


Click on the Training Paths tab, from here you can select which course is relevant to that role, give it a priority that you have set up and click Save.
